Business cards

Only University of Cambridge staff are entitled to a business card. In exceptional circumstances, and only when representing the University, students may be permitted to carry them, but only with permission from their head of department.

Business cards can be ordered from the Reprographics Centre and will be printed to the template. Business card print pricing details and order forms are available on the Reprographics page on the Estates website and Reprographics Centre SharePoint.

Email signature

Your email signature is there to help people contact you. It is an information tool, not a branding or promotional tool.

Use plain text to share essential information including your name, role, institution, contact details and web address.

Do not include any images. Image files, such as the University logo, your unit logo, social media icons, promotional banners, awards and accreditations are routinely blocked, displayed incorrectly and inaccessible.

Email signature template

This is the recommended method of presenting contact information and disclaimers in email signatures.

  • The text is black, 12-point Arial.
  • There should only be one website link in a signature, and it should be underlined.
  • The University logo or your unit logo should not be used in the email signature.

Using AI tools to create branded documents

We should be critical and responsible users of generative AI tools. This means not publishing anything written or created completely by AI tools and being aware of the many reasons why we shouldn’t.
 
Our experience with AI tools is that the default written style and tone of content produced by generative AI is not appropriate for our audiences in its unedited form. We always need to apply the University’s brand guidelines to all content.
